ABOUT THE ROLE
Purpose
As a subject matter expert in occupational claims management, the Disability Case Manager provides guidance to leadership, ensuring a clear understanding of WCB processes and employer obligations. This role is also responsible for identifying process improvements, tracking key claims data, and contributing to best practices that enhance efficiency, cost containment, and return-to-work outcomes.
This position manages WCB claims within an assigned geographic region and collaborates with peers to maintain a standardized approach to claims handling and return-to-work strategies across Sysco Canada.
Responsibilities
Claims Management and Return-to-Work Coordination
- Manages WCB claims for an assigned geographic region from initial reporting to case closure.
- Oversees the early and safe return-to-work (ESRTW) process, ensuring timely and appropriate modified work accommodations in collaboration with Operations, WCB, treatment providers, the Union (when applicable), and the injured colleague.
- Ensures all employer WCB reporting is completed accurately and within provincially legislated timeframes.
- Maintains regular communication with supervisors, WCB, and healthcare providers to monitor the progress of injured employees.
- Facilitates bi-weekly meetings with Operations, EHS, and HR to review ongoing claims.
- Participates in return-to-work meetings with injured employees, management, HR, and union representatives (when applicable), ensuring alignment on ESRTW plans.
- Identifies and escalates complex claims that require intervention from executive leadership or legal counsel.
- Reports to WCB on any changes in duties, non-compliance, or program completion.
- Applies for cost relief on behalf of the employer, ensuring accurate documentation and timely submission to mitigate financial impact.
Process Improvement and Standardization
- Contributes to the development of standardized claims management and return-to-work processes to ensure consistency across all sites.
- Establishes and refines best practices for WCB claims tracking, documentation, and communication with stakeholders.
- Supports the alignment of return-to-work processes with workplace safety programs and organizational policies.
- Maintains and improves standard operating procedures (SOPs) to enhance the efficiency of internal claims management.
- Establishes a continuous feedback loop by collecting stakeholder input to assess program effectiveness and drive ongoing improvements.
Training and Education
- Provides training and support to HR, Operations, and other leaders on WCB claims management, disability policies, and return-to-work best practices.
- Delivers ongoing education on legal obligations, workplace accommodations, and disability management strategies to ensure compliance and consistency in claims handling.
- Acts as a subject matter expert, advising leadership on complex claims and legislative updates.
Data Analysis and Reporting
- Tracks and analyzes WCB claim trends, costs, and key performance indicators to provide operational insights.
- Develops reports and dashboards for leadership, highlighting claim duration, cost impact, and return-to-work effectiveness.
- Uses data-driven insights to recommend process improvements that enhance efficiency and cost management.
- Monitors legislative and policy changes, ensuring compliance and proactively adjusting internal processes as needed.
Stakeholder and External Relations
- Serves as a primary liaison with WCB representatives to ensure efficient claims processing and resolution.
- Collaborates with Executive Leadership to assess claims for potential appeals and escalates cases to Legal when necessary.
- Works with healthcare providers to clarify functional abilities and restrictions to support return-to-work planning.
- Partners with EHS to identify injury trends and recommend workplace safety and injury prevention strategies.
Other Responsibilities
- Complies with Sysco’s Food Safety Policy and procedures to ensure food safety, quality and legality requirements are met.
- Is willing to work safely with minimal environmental impact and understands the importance of reporting all hazards, incidents, and environmental spills immediately to their supervisor.
- Understands that they play an integral role in their own safety and that of their colleagues and is willing to speak out when hazards are present.
- Performs other duties as assigned.
Minimum Experience
- 3+ years of experience in workers’ compensation claims management, return-to-work coordination, disability case management, or related field.
- Experience interpreting and applying WCB legislation, policies, and return-to-work best practices in a multi-site or complex work environment.
Preferred Experience
- 5+ years of progressive experience in occupational claims management, workplace accommodations, and disability case management within a corporate or multi-site setting.
- Experience collaborating with internal stakeholders, including HR, Operations, EHS, and union representatives, to resolve claims and support return-to-work strategies.
- Background in process improvement and data analysis, with a track record of identifying cost-saving opportunities and enhancing claims management efficiency.
- Experience in training and coaching managers or HR teams on WCB processes, return-to-work planning, and disability-related policies.
Minimum Education
Bachelor’s degree in disability management, human resources, occupational health and safety, kinesiology, nursing, social work, or related discipline.
Preferred Education
- Possesses one of the following professional designations: Return to Work Disability Manager (RTWDM), Certified Disability Management Professional (CDMP), Certified Return to Work Coordinator (CRTWC), Certified Human Resources Professional (CHRP), Canadian Certification in Occupational Health (COHN-C), or equivalent.
Knowledge & Skill
- In-depth knowledge of workers’ compensation legislation, policies, and return-to-work best practices across multiple Canadian provinces.
- Strong understanding of disability management principles, workplace accommodations, and duty to accommodate under human rights legislation.
- Ability to interpret and apply employment law, occupational health and safety regulations, and company policies to ensure compliance.
- Experience in case management, developing modified work plans, and managing complex return-to-work cases.
- Strong analytical and problem-solving skills to assess claim trends, identify cost drivers, and recommend process improvements.
- Proficiency in claims tracking systems, HRIS platforms, and reporting tools to maintain accurate case records and generate reports.
- Ability to develop and deliver training programs for managers, HR, and operational leaders on claims management and return-to-work processes.
- Excellent communication and negotiation skills to liaise effectively with WCB representatives, healthcare providers, union representatives, and internal stakeholders.
- Strong organizational and project management skills, with the ability to balance multiple claims and strategic initiatives simultaneously.
- High degree of confidentiality and discretion in handling sensitive employee medical and disability-related information.
- Intermediate proficiency in Microsoft Office including Excel, Word, PowerPoint, Outlook.
